ABOUT THE ROLE
The role combines operational leadership of academic program administration with stewardship of academic integrity processes and culture.
Senior Administration Officer (HE): Ensures high-quality administrative services, supporting curriculum delivery, assessment and results reporting, support for academic lifecycle processes, and academic governance activities within the Higher Education division.
Academic Integrity Officer (HE): Leads and coordinates academic integrity education, case management, policy application, reporting and continuous improvement in alignment with the Higher Education Standards Framework (HESF), institutional policy, and relevant legislation.
This position contributes to a consistent, student‑centred service culture, strong compliance posture, and continuous improvement in academic standards and operational efficiency.
KEY RESPONSIBILITIES:
Senior Administration Officer (HE)
Academic Administration & Service Delivery
- Provide high-level administrative support for teaching periods, including in relation to unit offerings, scheduling matters, assessment milestone tracking, and results processing
- Provide support to Academic Program Managers (APMs) to ensure accuracy and integrity of academic and curriculum data in the student management and learning management systems; maintain version control for course and unit documentation
Student Lifecycle Support
- Provide administrative support for the processing of credit/RPL documentation and progression monitoring in line with policy and published timeframes
- Provide front‑line, high‑quality service to students and academic staff; triage complex cases and escalate appropriately
Assessment & Results Administration
- Provide high-level support for assessment-related processes including moderation and benchmarking
- Maintain secure handling of assessment artefacts and records in accordance with policy and retention schedules
Academic Governance & Committee Support
- Prepare agendas, papers, and minutes for academic committees, as required; track actions and follow up
- Support accreditation/registration evidence collation and audits (internal/external, including TEQSA-related matters as directed)
Systems, Data & Reporting
- Produce operational reports and dashboards (enrolments, completions, progression, assessment timelines, service metrics), as required
- Identify data quality issues; implement corrective actions and process improvements
Continuous Improvement & Risk
- Map and streamline administrative processes; propose and implement service enhancements aligned with quality assurance frameworks
- Identify operational risks (service, data, compliance) and maintain risk registers/controls within area of responsibility
Stakeholder Coordination
- Coordinate casual/temporary administrative support, including examination invigilation, where required; provide training/induction on processes and systems
- Build collaborative relationships with academic leaders, professional services, and external partners where relevant
Academic Integrity Officer (HE)
Academic Integrity Case Management
- Administer the academic integrity process from initial reporting to resolution: triage cases, gather evidence, liaise with academics, APMs/Associate APMs, schedule interviews as required, draft determinations, and support the recording of outcomes
- Apply policy consistently; ensure procedural fairness, natural justice, confidentiality, and accurate record‑keeping
Education, Prevention & Culture
- Design and deliver targeted training for staff and students (e.g., avoiding plagiarism, proper referencing, assessment design to deter misconduct, gen‑AI guidance, examination protocols)
- Curate and maintain online resources (guides, modules, exemplars) and induction materials which support student and staff compliance with academic integrity-related Policy and Procedure
Policy, Frameworks & Guidance
- Provide advice on academic integrity policy and related procedures; recommend enhancements informed by sector best practice and analytics
- Support APMs to embed integrity principles into curriculum and assessment design
Analytics & Reporting
- Monitor academic misconduct trends (e.g., contract cheating, AI‑assisted misconduct, collusion)
- Track sanctions and educative outcomes, recurrence rates, and turnaround time
- Support reporting to internal and external governance bodies as required
Stakeholder Engagement & External Liaison
- Work closely with academic leaders, student services, compliance, and IT (e.g., text‑matching / AI‑detection tools)
- Participate in sector networks; keep abreast of regulatory expectations and share good practice
Quality Assurance & Compliance
- Ensure alignment with the Higher Education Standards Framework (Threshold Standards) 2021, institutional policies, and applicable legislation (e.g., Privacy Act 1988; Records retention; and ESOS Act where relevant)
- Contribute to internal audits, TEQSA submissions, and responses to integrity‑related queries
Stakeholder Engagement & Communication
- Work collaboratively with Student Services, Admissions, Office of the Academic Registrar, Compliance, Scheduling, and other teams across campuses
- Support consistent dissemination of academic integrity information to staff and students

- Maintain compliance with institutional policies, TEQSA requirements, and AQF requirements across all delivery sites
- Support development and maintenance of program documentation, including review reports, HE improvement registers, and policy‑aligned records
