About the role:

We are seeking an experienced Gifts in Wills Program Administrator to play a pivotal role in driving our long-term fundraising goals and supporting children and young people experiencing or at risk of homelessness.

As the Gifts in Wills Program Administrator, you will drive our long-term sustainability by developing and delivering a structured bequests strategy. You will build meaningful relationships with donors, ensure best-practice stewardship, and honour supporters’ legacy intentions while maximising gifts in wills income for our organisation.

Your strategic thinking and collaborative approach will be key to growing a strong pipeline and creating a donor-centric experience that aligns with our fundraising and organisational goals. From acquisition through engagement, conversion, and estate administration, you will manage every stage of the donor journey with professionalism, empathy, and operational excellence.

Requirements:

  • Support the smooth delivery of Gifts in Wills activities, programs, and projects by managing updates to documentation, contracts, donor files, and compliance requirements.
  • Act as a central point of contact for donor, solicitor, executor, and stakeholder inquiries, providing timely responses and resolving issues with professionalism and empathy.
  • Work closely with Project Managers, fundraising leaders, estate representatives, and internal teams to keep tasks on track and ensure timelines and donor commitments are met.
  • Provide informed advice to senior leaders on emerging matters relating to bequests, estate administration, and program performance, and support the implementation of strategic decisions.
  • Monitor external partner’s performance, including legal and estate related service providers and report any required changes to agreements, work orders, or service arrangements.
  • Prepare clear, accurate reports, briefs, and submissions that support strong organisational planning, donor stewardship, and continuous program improvement.
  • Maintain high quality‑ data, records, and documentation within CRM and estate administration systems to ensure accuracy, compliance, and effective donor care.

Skills and experience

  • Strong experience in the not for profit ‑sector, ideally in fundraising or donor engagement.
  • Background in managing Gifts in Wills programs, donor pipelines, and bequest stewardship.
  • Knowledge of estate administration, including working with executors, solicitors, and trustees.
  • Confident with budgeting, reporting, data analysis, CRM systems, and prospect research.
  • Excellent communication and relationship building‑ skills, with a compassionate, professional approach to donor care.
  • Skilled in organising donor events and supporting integrated fundraising and marketing activities.
  • Highly organised, detail focused‑, proactive, and able to manage competing priorities.
  • Strong problem-solving‑ skills and a commitment to confidentiality, integrity, and ethical practice.
  • Collaborative team player with experience working across multiple fundraising portfolios.
  • Proficient in Microsoft Office and donor management platforms.
  • Comfortable representing the organisation at donor events.
  • Tertiary qualifications in Marketing, Communications, or a related field.
