Description

The Fleet Coordinator will be responsible for the effective day‑to‑day coordination, administration, and support of the company’s fleet of vehicles and assets. This role ensures fleet availability, reliability, and compliance across metropolitan and regional operations, supporting operational requirements through proactive coordination and accurate information management.

The Role:

Fleet Coordination & Scheduling

  • Coordinate and schedule servicing, repairs, and preventative maintenance across the fleet.
  • Manage vehicle availability to meet operational and contractual requirements.
  • Coordinate allocation, utilisation, and redeployment of fleet assets.
  • Assist with planning fleet movements, replacements, and asset change‑outs.

Maintenance & Compliance

  • Maintain accurate service and maintenance schedules for all fleet assets.
  • Ensure vehicles meet regulatory, safety, and compliance requirements.
  • Monitor inspections, registrations, certifications, and defect rectification.
  • Liaise with internal workshops and external service providers to coordinate repairs and servicing.

Asset & Data Management

  • Maintain accurate fleet records including service history, usage, costs, and supporting documentation.
  • Track asset performance and identify reliability or utilisation trends.
  • Support asset lifecycle activities including procurement, commissioning, and disposal.

Operational Support

  • Act as a central point of contact between operations, workshops, drivers, and management.
  • Respond to breakdowns or operational issues and coordinate timely resolution.
  • Support investigations, diagnostics, and evidence collection for major asset issues.
  • Provide accurate and timely reporting to support decision‑making.

Cost & Efficiency

  • Assist with monitoring maintenance spend and operating costs.
  • Identify opportunities to improve fleet efficiency and reduce downtime.
  • Support the implementation of fleet systems and processes.

Regional Travel & Site Support

This role will require travel to our regional branches from time to time.

The successful candidate will possess:

  • Experience in fleet coordination, transport operations, or asset management.
  • Strong understanding of maintenance scheduling and vehicle compliance.
  • Experience coordinating a diverse fleet (buses, light and/or heavy vehicles)
  • Strong organisational, communication, and stakeholder engagement skills.
  • Proficiency with fleet management systems and Microsoft Office.
  • Experience in transport, mining, or remote operations environments.
  • Mechanical or technical understanding of vehicle maintenance.
  • Multi‑site or regional fleet experience.
