CatholicCare Tasmania’s Early Learning and Care team delivers Outside School Hours Care (OSHC) and Early Learning Ludo Programs (ELP) in schools across Tasmania. We provide before-school care, after-school care, vacation care for children aged 4–12, and early learning programs for children aged 3–5.
We are seeking an Administration Assistant to support our state-wide Early Learning and Care Operations Team. This role is ideal for someone who is highly organised, detail-oriented, and passionate about delivering exceptional customer service.
About the Role
Responsibilities or duties
- Manage end-to-end child enrolment processes, including site tours and Child Care Subsidy support.
- Handle vacation care bookings and distribute program information to families.
- Maintain accurate child records and time/attendance data using Qikkids.
- Respond to parent enquiries promptly and professionally across phone, email, and written correspondence.
- Monitor debtors, process payments, and liaise with Tasmanian Collection Service.
- Provide general administrative support including filing, archiving, and reception duties.
- Actively manage waitlists and maintain stakeholder contact lists.
Qualifications or requirements (e.g., education, skills)
Experience needed
- Previous experience in a similar administrative role.
- Strong data entry skills with high accuracy and attention to detail.
- Proficiency in MS Office (Outlook, Word, Excel).
- Excellent time management and ability to work independently.
- Strong interpersonal and communication skills for engaging with families and team members.
- Ability to work collaboratively within a team environment.
- Desirable: Experience with childcare management systems such as Qikkids or Xplor.
