We’re looking for a Project & Technical Administrator who brings structure, curiosity and a proactive mindset to our project teams. In this role, you’ll support the smooth delivery of urban development and infrastructure projects by keeping documentation sharp, systems organised, and communication flowing.

Key Responsibilities

Project Coordination & Governance

  • Establish new projects in DCE’s ERP and document management systems
  • Maintain structured digital project filing and implement QA templates and registers
  • Track RFIs, variations, approvals, deliverables and key milestones
  • Prepare agendas, minutes and action lists to support project rhythm
  • Assist with ISO‑aligned quality processes
  • Monitor project deadlines and submission schedules

Document Control & Technical Support

  • Maintain accurate file naming, version control and consistency across documentation
  • Manage drawing registers and support revision control
  • Issue transmittals to clients, councils and sub‑consultants
  • Help prepare tender documentation, technical packages and submission bundles
  • Maintain documentation audit trails and structured records

Financial & Commercial Support

  • Assist senior staff with budget tracking, WIP updates and fee forecast inputs
  • Support invoice preparation and timesheet accuracy
  • Track sub‑consultant engagements and invoices
  • Contribute to monthly operational reporting and project governance

Stakeholder Liaison

  • Be the first point of contact for administrative and project enquiries
  • Support communication with clients, contractors and authorities
  • Maintain stakeholder contact registers and help keep information current

Reporting & Operational Support

  • Support preparation of monthly project status reports and program updates
  • Assist with risk summaries and operational meeting inputs
  • Provide reporting support to Project Directors during key cycles
