Job Summary

As the Port Administrator you will be responsible for providing comprehensive administrative support to the Brisbane Port.

This role involves close collaboration with the Senior Management team, the Talent Acquisition Partner and the Regional General Manager as required.

You will engage and work closely with our management team, various stakeholders including clients, various Swissport business units & training teams etc, to ensure new and current employees receive and are up to date on the necessary compliance requirements, training and development.

Responsibilities or duties

  • Build and maintain strong relationships with managers, employees, and external stakeholders
  • Assist with recruitment and on-boarding of new staff and aligning recruitment efforts with business needs.
  • Support administration processes with induction/cessation of team members as required, including - Processing car park applications as appropriate, creating templates/tools/checklists for induction/cessation activities.
  • Act as the first point of contact for administrative and operational queries.
  • Facilitate meetings and communicate key updates to relevant stakeholders.
  • Carry out stock ordering activities for Airport, e.g. consumables, stationery, equipment.
  • Issue and reconcile purchase orders and invoices.
  • Process all Invoices and monitor contractor invoices in a timely manner to meet payment terms and liaise with Accounts Payable Team.
  • Process local ASIC applications, renewals and relevant Airline access control cards.
  • Issue visitor passes and personal protective equipment (PPE) as required.
  • Monitor and ensure compliance with port regulations and company policies.
  • Manage multiple administrative tasks simultaneously while meeting deadlines.
  • Maintain accurate records and reporting systems for efficiency.
  • Identify inefficiencies in administrative processes and propose improvements.
  • Implement best practices to streamline workflows for both terminals.
  • Prepare internal communications and updates regarding port operations.
  • Maintain clear and professional correspondence with all levels of staff.

Qualifications or requirements (e.g., education, skills)

  • Strong understanding of administration systems and tools.
  • Experience working with a diverse range of stakeholder groups (both internal and external) and assisting them to manage their competing priorities to achieve business goals and objectives.
  • Ability to work effectively under pressure and within tight timelines.
  • Ability to work autonomously under limited direction and able to thrive on in a dynamic and challenging environment.
  • High level proficiency with computer hardware and software including Microsoft Office suite.
  • Excellent written, verbal and interpersonal communication skills.
  • Strong problem-solving skills.
  • High level proficiency in formatting documents/presentations and/or generating graphs/tables.
  • Strong administration, planning/organisation and time management skills.
