ABOUT THE ROLE

The Administration Officer ensures smooth day-to-day functioning of the Academic Registrar’s Office through efficient coordination, documentation and stakeholder support. The role provides high-level administrative, compliance and governance support to the Academic Registrar and other members of the HE leadership team. The role also contributes to the effective operation of HE academic governance processes, quality assurance activities, and regulatory compliance obligations, including those relating to TEQSA, the Higher Education Standards Framework (HESF), and internal policies.

KEY RESPONSIBILITIES:

Administrative & Operational Support

  • Provide daily administrative support to the Academic Registrar and HE leadership team.
  • Check Academic Registrar inbox and distribute/respond to mail accordingly.
  • Schedule internal and external meetings, seminars and webinars.
  • Provide support, as required, for HE budget processes.
  • Assist with the preparation of reports, briefings and official communications for the Academic Registrar as required.
  • Triage and respond to face-to-face enquiries from students as required.
  • Liaise with HE leadership as required.
  • Other duties as required.

Academic Governance & Compliance Support

  • Assist the Academic Registrar in the administration of academic governance committees (e.g. Board of Examiners) as required, including, but not limited to:
  • Arranging logistics in support of Board of Examiner meetings (rooms, invites, catering)
  • Preparing, collating and distributing meeting agendas, papers and action lists for circulation
  • Accurately recording and producing high-quality minutes in accordance with governance standards
  • Supporting the monitoring and tracking of actions arising from Board of Examiner decisions.
  • Assisting with the maintenance of academic policy registers and ensure current versions are appropriately published.
  • Supporting compliance documentation and evidence collection for TEQSA, CRICOS, HESF and other regulatory obligations.
  • Helping prepare materials for audits, re-registration, course accreditation and internal quality assurance processes.
  • Maintaining accurate academic records and filing systems in line with legislative and regulatory requirements.
  • Other duties as required.

JOB REQUIREMENTS:

Qualifications and Experience

  • Previous experience in an administrative, compliance, or higher education support role
  • Demonstrated experience creating meeting agendas and taking accurate, action-oriented minutes
  • Experience supporting governance or quality assurance functions
  • Proactive, reliable, and able to work independently as well as collaboratively
  • Flexible and adaptable to changing priorities
  • Professional, discreet, and trustworthy
  • Certificate III or IV in Business Administration
  • Qualifications or experience in higher education administration, quality, or compliance

Knowledge & Skills

  • Strong organisational and time management skills with attention to detail.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Excellent written and verbal communication skills, particularly in minute-taking and formal documentation.
  • Familiarity with TEQSA, HESF and associated compliance frameworks.
  • Proficiency in G-Mail, Microsoft Office Suite, student management and accounting systems (Xero desirable).
  • Strong interpersonal, problem solving and stakeholder engagement skills
